Frequently Asked Questions

We have a minimum hire charge of £300 for deliveries no more than 90 minutes away from our Prop Barn here in Patching, West Sussex. Cost of delivery is then additional and takes into account mileage, amount hired, access to venue, staff required for any set up/instillations. The minimum hire charge will be increased for deliveries over 90 minutes and quoted for on an individual basis.

Yes, absolutely! There is no minimum spend required should you wish to collect and drop back your items to and from our Prop Barn yourself. We endeavour to be flexible when arranging pick up/drop off times that are convenient to you but please be aware these may be limited during peak season.

Once you have chosen the items you would like to hire, we require a non refundable 50% deposit to secure your items and confirm your booking. We DO NOT reserve any dates or items until this amount has been paid. Full payment is then required 2 weeks prior to your event when we will also finalise the delivery and collection logistics. We cannot deliver without receipt of full payment

Yes. We understand that as your event approaches, your ideas and plans may change. You are welcome to amend your order up until 2 weeks before your event when the final balance is due. However, some of our larger ‘high demand’ items such as bars and furniture cannot be changed. Please note that your order must stay above our minimum hire charge.

In addition to the hire cost you will be required to pay a ‘security deposit’ because we know that although not often, accidents do happen. Your ‘security deposit is  refunded back to you after the event once all hire items have been checked for loss/damage. The security deposit is calculated on the estimated cost to replace/repair/clean the items you have hired. Some antique, unique or rare items may require a higher deposit. Please allow up to 10 days for your security deposit to be returned.

Our hire period is usually 72 hours. However, we are happy to arrange longer hire time on request. Additional charges may apply.

Yes!!! You are welcome to take our furniture and rugs outside; in fact, we really love it when you do! However, we ask you to please take care of them. Please make sure the weather is dry and that our rugs are not laid on wet or muddy ground. Furniture and rugs should be placed on flat even ground and should not be left outside during inclement weather or overnight as rain and/or heavy dew may mark and stain the upholstery. As the ‘hirer’, its your responsibility to ensure the items are kept safe while in your care. Any repair /cleaning costs will be deducted from your security deposit.

Requests for delivery or collection made between 10pm and 6am will be decided on an individual basis and if granted will incur an extra charge. It is important to understand that Toast Staff need to account for the logistics of driving to/from you and to/from the warehouse, loading/unloading and then making the journey home.

We aim to be as flexible as possible with delivery and collection times but during peak season it may be difficult to offer the timing you require. Ideally, we will deliver your items the morning before your event, especially if you require games, bars or furniture to be assembled. We then collect the items the day after your event at set timings agreed. If your venue has particular stipulations as to when you are allowed in/ have to vacate the venue please let us know at time of booking.

At time of booking we will send you a booking form asking you to tell us about the access to your venue. If no set up is required and the access to your venue is ‘easy’ i.e. your desired unloading area is on one continuous level from the delivery vehicle and isn’t further than 20m away from where the vehicle can park (for example a loading bay, specific area in a marquee, an entrance of a barn, a room inside a venue, a garage or a church). Our driver will carefully unload all the items into one desired area and leave them carefully stacked/grouped ready for you to set them up.

If the access to the venue has any of the following please let us know at time of booking so we can factor any specific equipment or additional staff members required to ensure a swift and safe delivery into your hire quote;

Stairs/Uneven ground (off road access)

Please warn us if access to your venue involves going off road, or there are more than 3-5 steps as we might not be able to use trolleys and items will need to be carried in by hand which may be lengthy, difficult and even unsafe if the driver is alone. You may be asked to send a photo of where the items need to go so we can make sure we are well prepared and are able to make the delivery quickly, safely and efficiently.

Elevators

If the items need to be loaded into an elevator extra time will be required to make the delivery. As a general rule, we will only be able to work with service elevators as normal elevators may not be large enough for our larger hire items, especially furniture.

Height & Width Restrictions

If there are width or height restrictions of less than 2m we need to have these measurements in advance as some of our items are large and may not fit through.

Heavy Items

Some of our items are heavy. It is essential that two crew members are attending the delivery to make sure everything is done safely and efficiently. These items may also have restrictions on where they can and cannot go, such as up the stairs or on soft ground.

Time Sensitive Deliveries

If you have a very tight window of time you need everything delivered or collected by, please let us know. You may be one of many deliveries/collections on the day and we can then prioritise our time accordingly.

Extra Hands

A helping hand is always appreciated so if you are planning on providing people on your side to help unload or set up items please let us know.

We generally deliver our items using a truck and trailer, so ensuring there is sufficient room to turn around a trailer is important. Please be aware that if it is unsafe or not possible for us to make a delivery/collection due to not having adequate information provided in advance we may have to simply leave the items in the most convenient location and their safety will be your responsibility.
